Overview of the Project

A unified portal for high-trust exchange operations

MedAllies is a healthcare connectivity organization operating national exchange and directory services that help providers find, send, and retrieve health information across networks. Their platform supports secure exchange through Direct-enabled workflows, directory services, and nationwide interoperability programs, including QHIN participation under TEFCA.

MedAllies needed a modern portal experience that could support multiple operational tools and services without feeling like a patchwork of separate products. The work focused on designing an admin-ready, scalable portal foundation where authenticated users could onboard securely, navigate confidently, and complete complex tasks with less friction.

The Challenge

Building clarity into complex, high-stakes operations work

MedAllies' portal workflows sit at the intersection of compliance, reliability, and speed. The challenge was to simplify how users move through high-consequence tasks without oversimplifying what power users need to do.

MedAllies needed one portal experience that could credibly house multiple interoperability tools, from Direct services and operational utilities to support and admin workflows, without feeling fragmented.

The product had to anticipate scale and change, with workflows that remain coherent as MedAllies continues expanding network services and standards-based capabilities.

MedAllies Mail needed to work like a clinical operations workstation, supporting shared inboxes, triage behaviors, and trusted provider discovery inside a Direct-enabled messaging paradigm.

Our Approach

A system-first portal designed for scale

We treated the portal as the product’s operating system: a consistent shell that frames every service, with shared patterns for navigation, actions, states, and governance. From there, we designed the highest-leverage workflows first, portal entry and home, user and role management, then extended the same system to MedAllies Mail so messaging and administration share one design language.

We defined a portal experience that treats each MedAllies service as a cohesive product module, while keeping navigation, hierarchy, and entry points consistent across the suite.

We designed the broader toolset as a coherent suite, spanning certificate, bulk loading, provider address updates, test harness, and Direct services, so specialized utilities still feel product-grade.

We shaped MedAllies Mail around real team communication patterns, including shared access inboxes, folder-based work, and fast message handling.

Established shared design and UX foundations across adjacent tools to support consistent, scalable future services.

A dedicated UI kit defines colors, typography, buttons, tiles, cards, pills, and iconography for both app and desktop experiences. This gives MedAllies a single source of truth for future features and scaling.

The Outcome

A cohesive portal that can grow without breaking consistency

The new portal design gives MedAllies a scalable foundation where users can move between services without relearning patterns. Admin workflows are designed to reduce hesitation by making actions and outcomes explicit, especially in user lifecycle and permission work. Search and filtering patterns were shaped to handle complexity progressively, keeping default use fast while allowing deeper control when needed. Overall, the work supports MedAllies’ broader mission of secure exchange by treating UX consistency as an operational reliability feature.
